Terms of Service & Privacy Policy

This page contains the Terms of Service (the “Terms”) and Privacy Policy (the “Privacy Policy”) for NeighborlyBuzz (“NeighborlyBuzz,” “we,” “us,” or “our”). By using NeighborlyBuzz, our web apps, and any related services (collectively, the “Service”), you agree to these Terms and the Privacy Policy.

1. Terms of Service

These Terms govern your access to and use of the Service, including any software, tools, templates, event content, newsletter editor features, and email export functionality.

If you do not agree to these Terms, do not use the Service.

2. Eligibility & Accounts

You must be at least 18 years old to use the Service. You are responsible for maintaining the confidentiality of your login credentials and for all activities under your account.

You agree to provide accurate information and keep it updated. You may not share accounts across unrelated organizations.

If you create an account on behalf of a company or other entity, you represent that you have authority to bind that entity to these Terms.

3. Subscriptions, Billing & Trials

Some features require a paid subscription. Pricing, plan features, and billing terms are displayed at checkout and may vary by plan.

Billing & renewals

  • Subscriptions renew automatically unless canceled.
  • You authorize us (and our payment processor) to charge your payment method for recurring fees, taxes, and applicable add-ons.
  • You are responsible for all applicable taxes, unless otherwise stated.

Cancellations

  • You can cancel at any time through your billing settings (if available) or by contacting us.
  • Cancellation stops future renewals; you may retain access until the end of the current billing period unless otherwise stated.

Refunds

Unless required by law, fees are non-refundable. If you believe a charge is an error, contact us promptly and we’ll review it.

Payment processor

Payments are processed through third-party providers (e.g., Stripe). Your payment information is handled by those providers under their terms and privacy practices.

4. Acceptable Use

You agree not to misuse the Service. You may not, and may not allow others to:

  • Break the law or violate the rights of others.
  • Send spam or unsolicited bulk communications, or use purchased lists without proper consent.
  • Upload or distribute malicious code, malware, or attempt to disrupt the Service.
  • Reverse engineer, scrape, or attempt to extract source code or non-public data (except as allowed by law).
  • Circumvent security, access controls, or usage limits.
  • Use the Service to collect sensitive personal data without appropriate legal basis and safeguards.

We may suspend or terminate accounts for violations, and we may remove content that violates these Terms or applicable laws.

5. Your Content & Media

“Your Content” includes anything you create, upload, or submit through the Service (e.g., newsletters, images, logos, property info, and imported event details).

Ownership

You retain ownership of Your Content. However, you grant us a limited, worldwide, non-exclusive license to host, store, reproduce, and display Your Content solely to provide and improve the Service (including rendering email-safe HTML, image hosting, and delivering test emails).

Copyright and permissions

  • You represent and warrant you have the rights/permissions to use and upload Your Content (including images, logos, and any third-party media).
  • Do not upload copyrighted materials unless you own them or have permission/license to use them.
  • If you believe content infringes your copyright, contact us. We may remove content and repeat infringers may lose access.

Content responsibility

You are responsible for Your Content, including its accuracy, legality, and compliance with applicable marketing, privacy, and consumer protection laws.

6. Email & Communications

The Service may generate or export newsletters intended to be sent to residents or subscribers using your email tool (or via integrated sending features where available).

Consent and compliance

  • You are responsible for ensuring you have appropriate consent and legal basis to email recipients.
  • You must comply with applicable laws such as CAN-SPAM, TCPA (if SMS is used), and any local regulations.
  • You are responsible for honoring unsubscribe requests and maintaining accurate lists in your sending platform.

Test emails

If you use a test-send feature, you confirm you have permission to send to the address provided (including your own team addresses). We may rate-limit or block abusive behavior.

Service messages

We may send transactional messages related to your account, billing, security, or product updates. You may be able to opt out of marketing messages, but not essential service messages.

7. Third-Party Services

The Service may integrate with third-party services such as payment processors, hosting providers, analytics providers, and email tools. We are not responsible for third-party services, and your use of them is governed by their terms and policies.

8. Our Intellectual Property

The Service (including software, templates, UI, branding, layouts, and documentation) is owned by NeighborlyBuzz or its licensors and is protected by intellectual property laws.

You may not copy, modify, distribute, sell, or lease any part of the Service except as expressly permitted in writing.

9. Disclaimers

The Service is provided “as is” and “as available.” To the maximum extent permitted by law, we disclaim all warranties, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement.

We do not warrant that the Service will be uninterrupted, error-free, or that exported HTML will render identically in every email client (email clients vary and may change).

10. Limitation of Liability

To the maximum extent permitted by law, NeighborlyBuzz will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenue, data, or goodwill, arising from or related to your use of the Service.

To the maximum extent permitted by law, our total liability for any claim relating to the Service will not exceed the amounts you paid to us for the Service in the 3 months prior to the event giving rise to the claim (or $100 if you have not paid us anything).

11. Indemnification

You agree to defend, indemnify, and hold harmless NeighborlyBuzzfrom and against any claims, liabilities, damages, losses, and expenses (including reasonable attorneys’ fees) arising out of or related to:

  • Your use of the Service
  • Your Content (including claims that it infringes rights of others)
  • Your communications sent using exported content
  • Your violation of these Terms or applicable laws

12. Suspension & Termination

You may stop using the Service at any time. We may suspend or terminate your access if we believe you violated these Terms or if necessary to protect the Service, other users, or the public.

Upon termination, your right to use the Service ends. We may delete Your Content and account data in accordance with our retention practices, unless legally required to retain it.

13. Privacy Policy Overview

This Privacy Policy describes how NeighborlyBuzz collects, uses, and shares information when you use the Service.

  • Account info (name, email, password hash, organization details).
  • Billing info (handled by payment providers; we typically receive non-sensitive billing metadata).
  • Property/workspace data you enter (e.g., property name, city, branding assets).
  • Content you create (newsletter blocks, exported HTML, uploads like logos/images).
  • Support requests and communications.

B. Information collected automatically

  • Log data (IP address, browser type, pages viewed, timestamps).
  • Device and app data (approximate location from IP, device identifiers, diagnostics).
  • Cookies and similar technologies for session management and analytics.

15. How We Use Data

We use information to:

  • Provide, maintain, and improve the Service.
  • Authenticate users and secure accounts.
  • Process subscriptions and billing.
  • Generate and export newsletters and previews.
  • Send service messages, receipts, and support responses.
  • Monitor performance, prevent fraud/abuse, and enforce Terms.

16. How We Share Data

We may share information with:

  • Service providers who help us run the Service (hosting, storage, analytics, customer support, payments).
  • Payment processors (e.g., Stripe) to process transactions.
  • Legal and safety reasons (to comply with law, enforce terms, prevent harm).
  • Business transfers (if we undergo a merger, acquisition, or asset sale).

We do not sell your personal information.

17. Security & Retention

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. However, no method of transmission or storage is 100% secure.

Retention

We retain information for as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Retention may vary based on data type and account status.

18. Your Rights & Choices

Depending on where you live, you may have rights to access, correct, delete, or export your personal information, and to object to or restrict certain processing.

You can also:

  • Update your account information within the app (where available).
  • Request deletion or export by contacting us.
  • Manage cookies via your browser settings (note: disabling cookies may affect functionality).

19. Children

The Service is not intended for children under 13 (or under the minimum age required in your country). We do not knowingly collect personal information from children. If you believe a child provided us information, contact us and we’ll take appropriate steps.

20. Changes to These Terms

We may update these Terms and the Privacy Policy from time to time. If changes are material, we will provide notice by updating the effective date and/or providing additional notice (e.g., in-app message). Your continued use of the Service after changes become effective means you accept the updated Terms.

21. NeighborlyBuzz Companion Browser Extension

NeighborlyBuzz Companion is our free browser extension that inserts newsletters created in NeighborlyBuzz into your email or property-management editor (Gmail, Outlook on the web, or AppFolio).

What the extension stores

When you copy a newsletter in the NeighborlyBuzz web app (for example, by clicking “Copy HTML Source”), the extension saves that newsletter’s HTML in your browser’s local extension storage, on your device, so it can insert it when you click the extension’s Insert button. It also stores a simple timestamp marking a newsletter as inserted, which is used only to hide the Insert button once you’ve used it.

What leaves your device: nothing

The extension makes no network requests. It does not collect, transmit, sell, or share any data with us or with anyone else. It contains no analytics, tracking, or advertising. The stored newsletter never leaves your machine. It is replaced the next time you copy a newsletter, and removed when you click “Clear stored newsletter” in the extension popup or uninstall the extension.

What the extension can access

The extension runs only on the following sites, for the following purposes:

  • neighborlybuzz.com — to capture the newsletter you copy so it can be inserted elsewhere.
  • Gmail (mail.google.com) — to show the Insert button when a compose window is open and, when you click it, place your newsletter into the message body.
  • Outlook on the web (outlook.office.com, outlook.office365.com, outlook.live.com, outlook.cloud.microsoft, m365.cloud.microsoft) — the same Insert function for Outlook's compose window.
  • AppFolio (appfolio.com) — the same Insert function for AppFolio's letter/email editor.

The extension does not read your email, contacts, messages, or any other page content. Its only interaction with these sites is detecting the presence of an editor and, on your click, placing your newsletter into it. Every insertion is user-initiated; the extension takes no action on its own.

Permissions

The extension requests the browser’s storage permission (to save your copied newsletter locally, as described above) and access to the specific sites listed above. It requests no other permissions.

Changes and contact
